The executive summary: By replacing the existing out-of-the-box Task table in Dataverse, we can extend the Task functionality and develop custom features not possible in the out-of-the-box version.
The Challenge
Managing data consistently is critical for effective reporting and decision-making. Deidre and Gary identified a key issue with the existing Task table, which lacked functionality that other custom created Tables had. The outdated table structure did not allow custom workflows, leading to inefficiencies that disrupted workflows and reduced accuracy in reporting.
One of the main challenges was ensuring a smooth transition to the new Task table while avoiding any interruptions in existing functionality. The team needed to minimize potential conflicts during the switch and guarantee that all report visuals would automatically reference the correct data moving forward.
The Solution
Gary outlined a comprehensive plan to replace the Task table with a new and improved version while preventing errors during the transition. The steps included:
- Create the new Task Table: Create a new Dataverse table called “Taskv2” and immediately rename it to “Task.” This keeps the schema name different than the existing table.
- Renaming the Old Table: To differentiate between the old and new structures, the existing Task table was renamed with "OLD” (do not delete the table, as it may be referenced in other solutions). This removed confusion during implementation.
- Adjusting Table Settings: Gary recommended unchecking the 'Include in Report' and 'Enable Load' options for the old Task table. This eliminated the risk of the outdated structure being inadvertently used in reports.
- Updating Report Visuals: Once the new Task table was in place, every visual in the reports was manually updated to point to the new table. While time-intensive, this ensured accuracy and consistency across all dashboards.
